HR and Admin Associate (Compensation and Benefits)
Job description
General Objective: To process end-to-end Payroll and Benefits in an accurate, efficient and effective manner.
Specific Objectives:
- Payroll for all Full-time Employees
- Performs the accurate and efficient end-to-end process of timekeeping
- Archives all relevant communication regarding leaves, OT, UT, and absences and connects to the timekeeping processing
- Using JeonSoft computes accurate and efficient payroll details (including but not limited to statutory deductions, tax deductions, etc.) every payroll cycle
- Submits to the HR & Administration Manager all documents and details before actual approval of payroll
- Response (through the HR & Administration Manager) to all disputes, concerns and questions about payroll and benefits
- Performs all required documentation (including but not limited to filing, replying, accessing, etc.) of payroll and benefits
- Process Final Pay and 2316 resigned employees.
- Payroll for non-regular employees (including but not limited to Freelancers, Consultants, etc.)
- Performs accurate and efficient end-to-end payroll processing.
- Submits to the HR & Administration Manager all documents and details before actual approval of payroll
- Helps respond (through the HR & Administration Manager) to all disputes, concerns and questions about payroll and benefits
- Performs all required documentation (including but not limited to filing, replying, accessing, etc.) of payroll and benefits.
- HRIS and Data Entry
- Encodes, updates, and maintains all personnel details in accordance with the Data Privacy policies (in coordination with Internal Control)
- Maintains physical/ virtual 201 Files in accordance with the Data Privacy policies (in coordination with Internal Control)
- Coordinates with HR & Administration Assistant regarding Onboarding and Offboarding of all employees (including Freelancers, Consultants, etc.)
- Processing of Payroll Account Opening (overall process from enrollment of account to card issuance, full-time employees and freelancers)
- Statutory Benefits and All Regulatory requirements
- Maintains a calendar to regularly update, maintain and process all regulatory requirements of the government and communicates these to the HR & Administration Manager.
- Maintains and archives all (including but not limited to) all documents, permits, contracts, forms, and guidelines of all regulatory requirements and communicates these to the HR & Administration Manager.
- Provides updated communication to all employees regarding updates, revisions and guidelines of all regulatory offices (e.g. SSS, PhilHealth, PagIBIG, EC, BIR, etc.)
- Process all monthly contributions and loan remittances and to be submitted to Finance for payment on or before every 10th of the following month.
- Performs necessary fieldwork if there are urgent concerns.
- Company Benefits and All Regulatory requirements
- Enrollment of newly regularized employees to HMO and deletion of resigned/terminated employees.
- Maintains a calendar to regularly update, maintain and process all company benefits (including but not limited to HMO, Life and Accident Insurances, etc.) and communicates this to the HR & Administration Manager.
- Maintains and archives all (including but not limited to) all documents, permits, contracts, forms, and guidelines of all company benefits regulatory requirements and communicates this to the HR & Administration Manager.
- Provides updated communication to all employees regarding updates, revisions and guidelines of all company benefits (e.g. VL, SL, HMO, Life and Accident Insurance, etc.)
- Weekly and Monthly Reports
- Prepare comparative reports for different healthcare providers two (2) months ahead of the renewal period.
- Prepares comparative report for different accidental insurance providers two (2) months ahead of the renewal period.
- Prepares payroll forecast and budget allocation to be submitted to finance at least 5 days before the following month.
- Perform other facets that may be assigned by the direct manager to other facets of HR & Administration and the Global Corporate Division.
- Assess and Improve existing payroll flow and system to improve effectiveness and accuracy
- Other administrative-related tasks that may be assigned by the manager.
Requirements
- Graduate of a top international/ local bachelor's degree (preferably but not required) in BA/ BS HR, Psychology, or any business-related course
- Preferably with experience using Google suites (Basic calculation skills in a spreadsheet application, such as Excel, or Google Sheets is MUST)
- There is a Google sheet or Excel skill check while the interview process
- At least 5 years of experience in handling compensation and benefits.
- Preferably with experience in using Smartsheet.
- Three years of related experience processing payroll and benefits using HRIS.
- Ability to adapt to a fast-paced environment and willing to perform various tasks. Working/Learning experience in an international environment, such as globally operating tech companies, is plus
- Able to provide positive results despite deadlines and tight schedules
- Must be amenable to work in Makati (with a hybrid work arrangement of at least once a week)
- Excellent oral and written communication skills in English
